5 Tips for Planning a Hybrid Event

Due to COVID-19, Associated Luxury Hotels International (ALHI) pivoted from traditional face-to-face events to “hybrids” in 2020. A hybrid event is one that includes in-person and virtual participation by attendees. If you’re considering holding a hybrid event of your own, here are a few tips.

5. Don't Let Technology Rule the Show

The technology platform isn't the show, it's just the means to an end. Just as you would with a traditional in-person event, you need a content line-up that engages the participants and provides revenue opportunities for exhibitors, partners and sponsors.

4. Prepare Your Speakers Virtually

Most keynote speakers do not have as much experience presenting in a virtual setting. Be sure to test technology and work with your speakers to help them feel comfortable.

"Do a dry run (or several) and make sure everyone is comfortable with volume settings, lighting and how to use the platform. And then run through it again," says Katie Bohrer, CMP, Vice President of Meeting Design and Experience at ALHI.

3. Create FOMO for Both Audiences by Having Different Run of Shows

There is nothing is wrong with FOMO (fear of missing out), especially in today’s environment. Creating different experiences for audiences whether they are in-person or virtual can help create FOMO for future events and experiences.

"Imagine if you were sitting there in person and there was only a screen and never anybody on stage," Bohrer said. "We put ourselves in the shoes of each audience and thought about what would make sense. So, for face-to-face, some presentations were on stage while the virtual audience was shown a pre-recorded video, or a live stream of the stage presentation."

2. Use the Same Chat Box for All Attendees

Allowing attendees, both in-person and virtual, the opportunity to chat with each other helps create a sense of connection, helping to reinforce the experience of an in-person meeting for virtual attendees. Be sure to assign a dedicated staff member to interact and engage with all attendees in real time for greater connectivity.

For a safe and successful event, make sure to follow all CDC guidelines.
